Executive Director – The Historic Panida Theater

Are you a visionary leader with a passion for preserving the magic of live performance and the rich history of a nationally registered historic theatre?

The Panida Theatre, a local and regional cornerstone with a legacy spanning nearly 100 years, is seeking an experienced and dynamic Executive Director. The theater is a 500-seat venue dedicated to artistic excellence and community engagement, offering diverse performances and events in a preserved setting.

About the role:

Working with and reporting to the Board of Directors, the Executive Director is responsible for implementing the overall strategic direction, (collaborating with staff, volunteers, and stakeholders), leadership, and management of the Panida Theatre. This role requires business acumen, artistic sensibility, and commitment to the theater's mission and historical significance.

Key responsibilities include:

  • Strategic Planning and Implementation: Collaborating on the development and execution of long-term strategies and goals to ensure the theater's artistic and financial sustainability.
  • Financial Management & Fundraising: Overseeing budgeting, financial reporting, and cultivating relationships with donors, sponsors, and grant-making organizations to secure funding.
  • Operational Excellence: Managing day-to-day operations, including programming, facility maintenance, health and safety of patrons and staff, and ensuring compliance with relevant regulations.
  • Community Engagement: Building and nurturing relationships with local and regional partners, representing the theatre in the community, and fostering audience development.
  • Team Leadership & Development: Inspiring and managing a team of staff and volunteers, promoting a positive and collaborative work environment.

Candidates should have:

  • Proven experience in leadership and management roles, preferably within the non-profit arts or historic preservation sectors.
  • Demonstrated success in fundraising, financial management, and organizational development including competency with Excel and Quickbooks.
  • Strong communication, interpersonal, and problem-solving skills, with the ability to engage diverse stakeholders.
  • A deep understanding of the unique challenges and opportunities associated with managing an historic theater.
  • A passion for the performing arts and a commitment to the preservation and promotion of the theater's unique legacy.

Maintenance Person

A maintenance person is responsible for the upkeep, repair, and maintenance of facilities, maintaining an environment that is functional and well-maintained.

Key Responsibilities

  • Perform Repairs: Conduct routine inspections and perform minor repairs on various systems, including plumbing, electrical, HVAC, and general building maintenance.
  • Preventative Maintenance: Implement preventative maintenance measures to equipment and facilities so they operate efficiently and reliably.
  • Troubleshooting: Diagnose issues and malfunctions in equipment and systems, providing timely solutions to minimize downtime.
  • Documentation: Maintain accurate records of maintenance activities, including repairs, inspections, and inventory management.
  • Collaboration: Work with other staff and contractors to coordinate repairs and improvements, complying with regulations and building codes.

Required Skills and Qualifications

  • Experience: Skills in building or facility maintenance is required, with a solid understanding of various maintenance tasks.
  • Technical Knowledge: Proficiency in using hand and power tools, as well as the ability to read blueprints and repair manuals. A good working knowledge of computer systems and how to utilize them for recording tasks and researching systems and repairs is essential.
  • Physical Stamina: Ability to perform physical tasks, including lifting heavy objects (50 lbs.) and working in various environments (indoors and outdoors).
  • Problem-Solving Skills: Strong troubleshooting skills to identify and resolve issues effectively and efficiently.
  • Communication: Good communication skills to interact with team members, clients, and report on maintenance activities.

Work Environment

  • Maintenance Person for the Panida will typically operate in a theeater environment, involving commercial type equipment and facilities. The role may involve working in high-noise areas or outdoors, depending on the tasks at hand.

Reporting Structure

  • The Maintenance Person will report to the Executive Director and will attend and make reports to the Facilities Committee of the Board of Directors. 

Compensation:

The Panida Theatre offers a competitive hourly salary commensurate with experience and qualifications. This is a part time 24 - 30 hours per week position.

Front of House Manager

The Front of House Manager position involves building the ticket product, managing ticket sales, providing estimated attendance reports prior to and during the ticketed event. After the event providing an accurate event reconciliation and financial report. Additionally, working with Events, to provide accurate contracted ticket requirements of the client. Customer service involves upholding Panida policies and procedures, with renters, presenters and attendees. Front of House Manager during events is responsible for the House Manager, Concessions, Bar, working with the Volunteer Coordinator and implementation of the Emergency and Evacuation Plan. 

Key Responsibilities

Customer Service: Interact with customers in person, over the phone, or electronically to assist with ticket purchases, answer inquiries, and resolve issues. 

Ticket Sales Management: Using the current ticketing platform (Etix), have good competency in operating the platform. Monitor the selling of tickets for events, manage reservations, and maintain accurate records of transactions. 

Financial Transactions: Process payments,  and handle cash management, ensuring accuracy in all financial dealings. 

Event Coordination: Provide information to the volunteers about upcoming events, including showtimes, seating arrangements, and pricing. 

Manager on Duty: Shall be the Manager on Duty responsible for the Concessions, Bar, Volunteers and the Lobby in general during performances or events.

Volunteer Scheduling: Working with our Volunteer Coordinator, make sure that proper volunteer staffing and scheduling is available.

Concessions and Bar inventory ordering: Is responsible for maintaining proper inventory and ordering for Concessions and Bars in consultation with the Executive Director.

Administrative Duties

Assist with contract preparation with the Events Coordinator and Tech Team to provide a seamless customer experience for the user and customer. Perform  tasks such as maintaining sales records, processing refunds or exchanges, and assisting with marketing efforts for events.

Other Position Responsibilities 

The Front of House Manager will report directly to the Executive Director. The House Manager shall report to the Front of House Manager and supervise the House Manager duties, especially in regards to the Emergency and Evacuation Plan. 

Other tasks as assigned by the Executive Director.

Required Skills and Qualifications

Strong Communication Skills: Ability to effectively engage with clients and customers and provide clear information. 

Customer Service Orientation: A friendly and professional demeanor to ensure a positive experience for patrons. 

Attention to Detail: Accuracy in handling cash and managing ticket preparation and sales is crucial. 

Technical Proficiency: Familiarity with ticketing and concessions software and computer systems for processing sales and managing reservations. 

Work Environment

Front of House Manager involves working in an indoor setting that may require sitting or standing at the Panida venues or offices. Evening and weekend shifts typically are required due to event schedules. 

This is a midlevel management position needing judgement and response to the situation as needed. Immediate supervision is required of the House Manager, Concessions, Bar and Volunteer Coordinator/Volunteers.
